Running the Awards Module
Before generating your Awards lists each reporting period, there are a few checks and configurations to run through first.
- From the Analytics Menu, select Awards, and then Awards / Subject / House (depending on which category of awards you wish to run).
If you have several awards running in a category, you will see the different tabs along the top representing each award. - Click 'Create New Award Recipient List'.
Configuration

- Check that the parameters are correct for each of the Award years.
You can edit each of the parameters by clicking on the edit icon and entering the updated information.

- Click the blue button 'Setup Awards Subjects'
- Result Period
TrackOne remembers the last reporting period each time an award list is run, until you change it to a new one.
Therefore, you will likely need to delete the previous reporting period and map the awards run to the new reporting period.- Delete old reporting periods
- Add 'New' reporting periods - select the appropriate reporting period/s.
Note that you can choose to draw results from your 'main reporting system' or your 'continuous assessment system.
Discuss with TrackOne support team if you are unsure which of you reporting period/s you need to draw results from. - Synchronise Subjects
As subjects can change from year to year or semester to semester, you will need to hit the blue 'Synchronise Subjects', then 'Synchronise' buttons to update the subject list.
You can also manually add a specific subject if it is missing. You must do this for each result period you are pulling data from. - Check weightings and exclusions
Once the subjects show, review weightings and update if required.
Tick the 'Exclude Subject' box to exclude a subject from the Award calculations. You can also delete it entirely from view by using the delete icon (X), but you might prefer to keep it visible onscreen, just excluded.

Close the box when done.
Repeat for each year level included in the awards run.

Generate your Award Recipient List
Once you have reviewed the setup and confirmed that all reporting periods, subjects and result mappings are correct, you are ready to generate your Award list.
- Give your Award list a meaningful name.
- Select the correct cohort result year.
- Tick the review checkbox (but only after you have reviewed all parameters and set up your subjects).
- Click the green Generate Award Recipient List.
Check and Finalise your Award Recipient List
- For each year level of your Award list, check that the data and calculations for a few students are correct. If class result data is missing, check it has been entered into your SIS/Markbooks.
Each year level's award lists can be exported to an Excel file. - Override Status
If for some reason you wish to override the calculations and either give or remove an award, click the pencil icon and select the appropriate action. A reason may be entered also.
View Run Parameters
You can view the settings of previous runs by clicking the calculator icon. This is helpful where parameters and settings are changed from run to run and you wish to see what they were at the time a particular list was generated.
The TrackOne support team often review these parameters when assisting with troubleshooting.
Compare with previous
If you have run the Award list in previous years you can use the Compare with previous button to check for changes in the list with a previous awards run.
Finalise Award Run
At some stage, perhaps after awards ceremonies have been held, you may wish to 'Finalise' an award run. When this occurs, the awards will be visible in Parent and Student portals (with the associated permissions).
Test runs may be deleted at this stage.
Revert Finalised Run
Should you wish to revert a published run, click the Revert Finalised Run button.
